Clinic Administrator

Position Title:         Clinic Administrator
Report To:                Chief Medical Officer
Hours:                        40 hours- weekends and holidays may be required

Nashville Humane Association is looking for a full time employee to join our growing and excellent veterinary team already in place. This position requires the candidate to work along-side the Chief Medical Officer in helping to develop the department as it grows.

 

Qualifications:

 

  1. Five years experience minimum in the veterinary field (any department)
  2. Three years experience minimum in a management position (veterinary profession preferred but not required)
  3. Must be able to stand for long periods of time, lift up to 40 lbs without assistance and be able to kneel and bend down if warranted.
  4. Must have good communication skills. This person may be asked to discuss items/ topics with vendors, educate the public and relay information obtained from informational meetings.
  5. Must be proficient with using computers. This person must be able to navigate Microsoft word and excel as well as quickly adapt to changing cloud based veterinary software
  6. Teamwork mentality, a good attitude, and the ability to adapt to a variety of tasks presented are key.

 

Occupational Hazards:

 

Animal hair and dandruff, possibility of domestic and wild animal bites. Exposure to potentially communicable disease, such as ringworm, rabies, etc. Applicants should be free of allergies, asthma or back problems.

 

Duties and Responsibilities:

 

General

  1. Maintain inventory of suppliers for veterinary services
  2. Order supplies and medications when necessary
  3. Develop relationships with drug representatives and vendors to negotiate the expansion of equipment and supply needs
  4. Maintain relationships among local vet clinics and partners
  5. Maintain required medication logs
  6. Work closing with Chief Medical Officers on any administrative needs for the veterinary services department
  7. Assist the Chief Medical Officer while evaluating, performing diagnostics, and fulfilling treatments for patients presented to veterinary services.
  8. Provide veterinary assistant duties when veterinary services is short staffed
  9. Additional duties assigned by the Chief Medical Officer and/ or the Executive Director

Contract Spay / Neuter Vet

Nashville Humane Association is a progressive, non-profit organization committed to finding responsible homes, controlling pet overpopulation and promoting the humane treatment of animals.

 

We are looking for one or more compassionate veterinarians who are interested in sharing their skills by helping out with our mobile spay/neuter days. Our Rover Bus (a 26′ LaBoit) is a surgical unit on wheels, equipped with state-of-the-art equipment including: 2 anesthesia machines, digital scales, autoclave, surgical lighting, microscope, as well as medical supplies. The bus travels four days a week to locations within and surrounding Davidson County, and is staffed by a Veterinarian, Licensed Veterinary Medical Technician, Veterinary Assistant and Project Coordinator.

 

The schedule is flexible as you could elect to work anything from one day a week to four days a week. We do not operate the bus on the weekends.

 

The ideal candidate must be familiar with high-quality, high-volume spay/neuter and have experience in this setting. This is considered a contract labor position and not an employee position. You must have a valid DVM license to practice in the state of Tennessee and all appropriate insurance.

 

Additional Salary Information: Position pays a per diem.

Pet Service Representative

Position Title:         Pet Service Representative
Report To:                Pet Service Supervisor
Hours:                       Part-Time
Salary Range:         TBD

 

Qualifications:

 

Associates degree or equivalent and a minimum of two years experience working with animal welfare and working with the general public. Appropriate work experience may be substituted for degree. Specific skills include basic accounting, computer, and communication. Excellent phone etiquette is a must. Excellent driving record required.

Duties and Responsibilities:

 

Adoptions

  • Counsel and educate applicants for pet adoption
  • Inform applicants of shelter guidelines concerning adoptions
  • Assist prospective adoption candidates in selecting the proper animal for their lifestyle and environment.
  • Select and show individual animals to potential adoption candidates.
  • Ensure that all dogs and puppies adopted receive an NHA tag
  • Ensure that all adoptions paperwork is complete and accurate and that all procedures are followed
  • Ensure protocols regarding post-adopted sick animals is followed
  • Solicit input from manager regarding adoptions that you believe may require special circumstances
  • Ensure that FOA certificates are accurate and complete
  • Ensure that PFE program is accurate and complete
  • Follow-up adoption calls are made in assign time frames and entered into Shelter Buddy

 

Lost and Found

  • Accept calls and visits pertaining to lost and found and complete the lost and found form in the computer. Do a search on each entry. Check all entries for possible matches.
  • Enter into Shelter Buddy lost and found entries obtained from the admissions department or from customers via in person or on the phone.
  • Check Tennessean.com, Petfinder.com, Shelter Buddy, and Nashvillepetfinders.com for lost and found possible matches
  • Maintain lost and found records as well as pictures and flyers. Keep information for 60 days in lost and found folder.
  • Verify that injured or stray animals scheduled for euthanasia do not have a lost and found match
  • Assist customers in walking through Dog or Cat holding to look for their lost animal

 

General Office Functions

  • All paperwork is to be filed promptly and correctly
  • All adoption kits and various handouts are to be available and inventory kept available, neat, clean and professional looking.
  • General accounting closing procedures are to be followed
  • Front lobby, bathrooms, copy room and community room, and windows are to be cleaned according to schedule
  • Desk area and counters are to be neat and clutter free
  • Hand-out literature bins are to be stocked at all times
  • Requests for foster care are to be acted upon promptly
  • Phones are to be answered immediately and professionally

 

Public Relations

  • Listen to and respond accordingly to customer concerns or complaints and advise management
  • Greet each and every customer with a smile and a high level of professionalism
  • Empathize with individuals who have lost an animal to illness or those that must surrender their animals for valid reasons
  • Refer difficult or confrontational individuals to management
  • Be prepared to answer questions regarding animals on TV or special events on behalf of the shelter.
  • Stay informed on all facets of the business as it relates to adoption
  • Keep the website current and up-to-date with available animals for adoption
  • Welcome volunteers and assist them in getting to the beginning point of their volunteer experience

Animal Care Aide

Previous experience in an Animal Shelter or related field preferred but not required.

Animal hair and dandruff, possibility of domestic and wild animal bites. Exposure to potentially communicable disease, such as ringworm, rabies, etc. Applicants should be free of allergies, asthma or back problems.

 

Duties and Responsibilities:

  • To observe animal appearance and activity for general physical condition, obvious signs of illness,
  • disease and discontent.
  • To thoroughly clean and disinfect all areas of the shelter as often as is necessary.
  • To determine the type and amount of food animals receive.
  • To take charge and/or handle animals as required and to restrain hard to control animals.
  • To walk dogs several times a day to provide exercise and time for elimination of bowels and bladder.
  • To perform needed cleaning and maintenance of all equipment and tools used in job assignments.
  • Unpacking, labeling and stocking of shelter supplies and donations
  • Recognize and records any unusual condition or abnormal behavior of any shelter animal.
  • Report signs of illness, disease, injury or unusual activity to technicians/veterinarians.
  • Feed each animal as prescribed by the attending D.V.M. and records appetites.
  • Make sure cages and animals are properly numbered and identified.
  • Wash and dry towels and blankets.
  • Wash and sterilize water and food bowls.
  • Perform general cleaning.
  • Empty trash.
  • Patrol shelter grounds daily, picking up any trash and stool material.
  • Monitor behavior and work with assessment team
  • Assist with adoptions

Animal Care Representative
